The purpose of this Privacy Policy (the “Policy”) is to inform the registrants (also referred to as “User(s)”) how the information collected about them is used and the ways in which we protect Users’ privacy.
The Fifteenth Pan-African Ornithological Congress (hereafter “PAOC15”) takes the privacy of its Users seriously. We are committed to safeguarding the privacy of our Users whilst providing a personalized and valuable service. This Policy explains the data processing practices for the Congress Website. If you have any requests concerning your personal information or any queries with regard to these practices please contact the Administrator by e-mail at info@paoc15.org.
The manager and Data Controller for this Website is BirdLife Zimbabwe, the local organiser for the Congress (“hereafter BLZ”). The Accommodation Company for the Congress is Travel Portfolio (hereafter “TP”). Please note that Budget Accommodation will be booked by BirdLife Zimbabwe.

1. Information we collect from Users
In order for Users to register for PAOC15 (the “Congress”), they are required to provide the following personal information: First name, family name, organisation, type of organisation, organisation’s address, phone number, email address, gender, nationality, language preference, bank and/or credit card details, type of mobile devices, and emergency contact info (the “Personal Information”). You are not required to provide any other Personal Information if you do not want to.
As on many websites, the Administrator may also receive automatically general information that is contained in server log files including, without limitation, your IP address and cookie information.
You have a right to view or request a copy of your Personal Information details and information of your organization held in the PAOC15 database at any time, in order to verify the accuracy of, or otherwise to rectify and update, such information.
We collect information also through other means, such as feedback or comments and questions that you may send to us. If you send an enquiry to the Congress email address it may not always be possible for the Administrator to provide the information requested directly. In such cases we may pass your enquiry to another officer within so that he/she can respond to your information request.
2. Data sharing and security
The Congress Website permits you to register and pay on-line to attend the PAOC 15 (“Congress) and related events as well as to reserve accommodation.
BirdLife Zimbabwe (Website Controller) shall not disclose credit card account information provided by Users. Registration payments shall be securely processed. The payment information will not be used for any purpose other than that for which it was provided and it will be used only to the extent necessary for processing the transaction. BirdLife Zimbabwe shall comply with all Payment Card Industry Data Security Standards.
Any Personal Information provided by Users to Travel Portfolio and BLZ will be held in accordance with applicable laws.
3. Deleting or updating your Personal Information
If you wish to correct, update or otherwise modify your Personal Information, please email info@paoc15.org and refer to the T’s and C’s.
4. Disclosure of Personal Information
TP and BLZ do not sell User Personal Information to any third-party.
TP and BLZ will make Users Personal Information available only to their respective employees and agents, contractors and representatives involved in the handling of Congress related events and, in the case of accommodation reservations, to the respective establishment for which a reservation has been made.
Though we make every effort to preserve User privacy, TP and BLZ may need to disclose Personal Information when required by law or governmental authorities. In such cases, TP or BLZ will ensure that the User is duly informed prior to such disclosure and that the appropriate assistance is provided to User.
5. Registration Cancellation
If you wish to cancel your registration and be refunded, please follow the process as specified in the Terms and Conditions for PAOC15 participants.
6. Cookies and IP address
We use session based cookies, which terminate when the browser is closed. All cookies generated by activities with the Website terminate when the browser is closed. Cookies do not contain any Personal Information and cannot be used to identify an individual User. Although your browser may be set up to allow the creation of cookies, you can specify whether you wish to be prompted each time before a site puts a cookie on your hard disk, so that you can decide whether to allow or disallow the cookie. Alternatively, you can set your computer so that it will not accept any cookie. Your IT service provider could help with this technical feature. Please note that in order to process your registration, acceptance of cookies is however mandatory.
An Internet Protocol address (“IP”) is a set of numbers automatically assigned to your computer whenever you log on to the internet or a local area network. Web servers use this address to identify your computer during your online session.
TP and BLZ or third party companies may collect IP addresses for the purpose of systems administration and to monitor the use of our Congress Website. This information will not be linked to personally identifiable information.
7. Linking to another site
TP and BLZ will not be sharing your information with any other sites.
8. Minors
Individuals under 18 years of age must obtain their parent’s or guardian’s permission before registering on the Congress Website.
9. Changes to this Privacy Policy
BLZ reserves the right to revise this Policy without notice, and any such revisions will be entered and reflected on an updated version of this page. Your regular review of this page will ensure that you are always aware of what information we collect, how we use it and under what circumstances we may share it with third parties.
10. No guarantees
Whilst this Privacy Policy provides standards and criteria for the collection and maintenance of Personal Information, and while efforts will be made to meet the said standards and criteria, BLZ cannot and does not guarantee compliance with these standards and criteria when factors beyond its authority or control are involved.
